Use the time clock

What does this do for me?

Team members can clock in and out from the Shopify POS or the admin Schedule page. PIN verification and integrity checks help prevent unauthorized entries.

1. Clock in from the admin

Select Schedule and then the Time clock tab. Under Clock in:
  1. Select the team member from the dropdown.
  2. Enter the member’s PIN (4-8 digits).
  3. Optionally enter a Location ID (GID) for the geofence check.
  4. Select Clock in.
The Recent entries table shows the clock-in time and integrity status.

2. Clock out from the admin

Under Clock out:
  1. Select the same team member.
  2. Enter the PIN.
  3. Optionally enter Break minutes (0-300).
  4. Select Clock out.

3. Clock in from Shopify POS

  1. Open the POS home screen.
  2. Select the Team Clock tile.
  3. Enter the Team member ID and PIN.
  4. Select Clock in or Clock out.
The POS extension sends a bearer token for authorization. If the request times out (15-second limit), the POS shows “TeamCopilot took too long” and asks the clerk to check the time entry before retrying.

Integrity checks

When a team member clocks in, TeamCopilot checks:
  • Late arrival — Clock-in after the shift start time.
  • Geofence — Distance between the clock-in location and the location’s configured geofence (25-5000 meters).
  • Open entry — Whether the member already has an open time entry.
  • Device change — Whether the device fingerprint differs from the last entry.
Integrity events appear on the Exceptions page under Integrity events for manager review.
