Manage team members

What does this do for me?

Team members are the people who work shifts, clock in and out, and complete checklists. You set their roles, default locations, and PINs.

1. Open the Team page

Select Team in the sidebar navigation. The page shows two tabs: Team and Locations.

2. Add a team member

Under Add team member, fill in:
  • Name (required) — The member’s full name.
  • Email — Used for shift notifications.
  • Phone — Used for SMS shift notifications.
  • Role — Defaults to associate.
  • Shopify staff ID (GID) — For example: gid://shopify/StaffMember/42.
  • Hourly rate cents — Whole currency amount in cents.
  • PIN — 4 to 8 digits. Used for time-clock identity verification.
Select Add member to save.

3. Edit a team member

Under Edit team member, select a member from the dropdown. Enter only the fields that should change. The New PIN field is for changing the PIN, and the Status dropdown lets you set a member to Active or Inactive. Select Save member changes.

4. Activate or deactivate a member

In the Members table, select Deactivate next to an active member to make them inactive, or Reactivate to restore access.

5. Staff access roles

The Staff access section in Settings controls what each Shopify staff account can do in TeamCopilot:
  • Member — Can use time clock and checklist workflows.
  • Manager — Can manage team, schedule, exceptions, and commissions.
  • Admin — Can manage access, billing, settings, and privacy-export downloads.
