Data we process
Customer Gate stores shop identifiers, contact email, installation and billing state, application answers, customer and company identifiers, approval history, and entitlements.
Supporting documents can be PDF, PNG, or JPEG files; the app stores document metadata and the uploaded file.
Purposes and instructions
The app uses application data to apply merchant-configured approval rules, update Shopify customer tags and company records, grant entitlements, and record decisions.
When a decision message and applicant email are present, the app attempts email delivery using the configured email service and, when a phone number and SMS configuration are available, SMS delivery.
The merchant controls application purposes and is responsible for its notices and lawful basis.
Service providers and transfers
Cloudflare runs the app and provides document storage, while PostgreSQL accessed through Cloudflare Hyperdrive stores application records.
Shopify receives customer, company, tag, and entitlement-related updates; Resend delivers application and privacy-export emails, and configured SMS delivery uses Twilio.
Optional OpenAI review receives submission status, risk score, journey type, submission time, field names with presence, length and type indicators, and document type and verification status; the projection excludes submitted field values and document contents.
Configured telemetry sends event names, shop or actor identifiers, and event properties to PostHog and Amplitude, event diagnostics to Datadog, and errors with context tags to Sentry.
Retention and deletion
Customer data requests compile records from retained installations into an export stored in Cloudflare R2 and email the merchant a download link that requires merchant authentication and expires after seven days.
Customer redaction deletes matching application records and document objects.
Shop redaction deletes the targeted uninstalled shop records and their related records, while retaining a delivery record containing the redaction cleanup references and prior trial dates.
Rights and requests
Customers should ordinarily contact the Shopify merchant that collected their application. Merchants and authorized requesters can send access, correction, export, restriction, or deletion questions to privacy@pcnaid.com.
Security and changes
The app uses tenant-scoped database access and validates document size, file type, and file signatures before accepting an upload.
No system is risk-free. We may update this policy and will publish a new effective date here.
